Amy Walsh (00:00) hey, Kyle. Sorry, I’m a minute late.
Kyle Rice (00:03) Norris, how are you?
Amy Walsh (00:04) Good. I’ll let everyone in, okay? Perfect.
Amy Walsh (00:15) Hey, y’all, sorry, I’m a little late. Hi, Natasha. You’re on mute, hey?
Natacha Julien (00:23) Guys, I was just wondering the same thing I was like, is it just me? Sorry?
Amy Walsh (00:28) About that? Yeah, that was my fault. No.
Natacha Julien (00:30) Worries, no worries at all. So, hi, Amy. Hi.
Amy Walsh (00:35) I.
Natacha Julien (00:36) invited my team to this meeting as well. You haven’t met them. I don’t believe Amy, but Kyle has, okay. So we have Aubrey and Poonam, and we went in on Evelyn. So give her a minute. I think I sent her the meeting request as well.
Amy Walsh (00:58) You said Evelyn?
Natacha Julien (01:00) Yeah.
Amy Walsh (01:01) Evelyn’s on?
Natacha Julien (01:02) Oh, sorry, I,
Amy Walsh (01:04) couldn’t you’re good. See.
Kyle Rice (01:05) Her, so.
Natacha Julien (01:06) Weird.
Amy Walsh (01:07) No problem at all. Thank you.
Natacha Julien (01:12) For setting up this meeting, Amy. I appreciate it. And I believe as we are working on off boarding, just want to make sure that all the questions that we have because Kyle has been wonderful, but I know a lot of times he’s not the decision maker. So I want to make sure as we talk about things needs, that we have in requirements that he’s able to, we all on the same page as what he’s able to help us with, and what he’ll need approval for. Yeah.
Amy Walsh (01:50) Absolutely. I think I wanted to kickstart this meeting.
Amy Walsh (01:54) I’ll let you and Kyle kind of really discuss any questions or outstanding items. But I know Natasha last week when you were talking, you just want to make sure that as you’re getting ready to off board for medallion that everything has been submitted by April fourth, that you’ll be working on that you’ll need us to work on, and that we’re just all aligned there.
Amy Walsh (02:12) And if you have any questions about as we’re off boarding like from an operational and standpoint within our system, Kyle could definitely help answer those questions. So, yeah, I know I signed the addendum last week to just finalize the dollars outstanding that we’ll be working on for you, but I’ll kind of let you take it from here and ask Kyle any specific questions you have on some of the work that you’ll need our team to be completing over the next couple weeks.
Natacha Julien (02:36) Sure. Absolutely. So you know, an update in just for the curai team, right? We talked this morning, we will, anything that has to be submitted to medallion has to be submitted by April fourth that includes any new credentialing. So we are, as we talked about Amy, we are working on recruiting some clinicians… agencies and W tos. So the 10 nine, all three status will need to be credentialed. So we’ll send all credentialing requests for those. And then the W tos will also send all licensing requests as well. Most unfortunately, most of them, we’re not going to probably not have the licensing request set on time because they have to be credentialed before we can submit their license request. So confirming that, you know, that you are correct, that’s what we had discussed. And so specifically for Kyle and you know, again approval just, you know, like four things right here that, you know, the team you know, we wanted to discuss with medallion is updating email addresses to a clinician’s email and accounts that are under medallion email. So are you able to share a list of all the accounts that are under medallion’s email in their update status? So cause we want to make sure we can double check to ensure that they are updated with the clinician’s email address versus medallion. Let.
Kyle Rice (04:22) Me check on that. Cause I don’t believe we have a way to export the like just the external accounts as is to kind of like rectify those in terms of changing the email addresses over to medallion. I do know Natasha for any active requests that we have in terms of like new licensure, things like pertain to those requests after the request is completed. And then up until the contract end date, the team will transition all those over to medallion, the curai, specific login. So whatever email they have listed in their designated in their profile, they’re transitioning that email over. So the clinicians are receiving any email addresses, and then we can additionally export the provider’s accounts as well via our support team, but that should include a list of the external accounts and logins listed for each provider owned account, whether it be a state licensing board login or portal that we have on file for you guys.
Natacha Julien (05:17) Okay. So that was another thing. So all account login credentials, you can export those and send those to us.
Kyle Rice (05:24) Yes, we would just need to run those through our support team. So if you guys just let me know if there’s a specific subset of providers that you want to get exported or whether it be like the providers in entirety, we can get that into a process with our support team.
Natacha Julien (05:36) Yeah, it’ll be all clinicians, right? Because we’re going to be W tools only, right? Because those are the, you know… licenses for, okay?
Kyle Rice (05:48) Yeah, we can get that underwrite for sure.
Natacha Julien (05:51) Okay. And before, and to confirm because I’m not sure if I understand… even though you cannot. So you won’t be able to provide the accounts that medallion has updated until after medallion we.
Kyle Rice (06:14) Can provide those. I don’t believe we have an external way just to export the accounts. As is, I believe those would be Natasha included in the profile exports that we’re doing because it’ll essentially pull the list of all their information. So like their demographic information, all their professional history, their existing licenses, I believe it will pull their requests in as well, their credentialing packets, their disclosure questions, and then anything else pertaining to the account. So it’ll essentially export the account in its entirety to include those logins.
Natacha Julien (06:47) Excellent. Okay. And that will be for all because for the 10 90 nines, well, actually it’ll be all clinicians, not just W tools because for the 10 90 nines, right? You’ve done their credentialing. So we’ll need their credentialing packet. And for the W tools, it’ll be their credentialing and their licenses.
Kyle Rice (07:07) Okay. Exactly. I’m just pulling up a list right now of the full time, I believe we have them all designated in platform as full time versus contractor. It looks like we have about 38 providers under full time W tool. And then for contractor… a second, it’s loading here, of course.
Kyle Rice (07:49) It looks like we have about 19 providers labeled as contractors. Does that sound about accurate to you?
Natacha Julien (07:55) We will have to pull. I don’t know if Poonam can pull it this quickly, but we might have to confirm that. So, I’m just writing it down to confirm with Poonam total W tools… versus 10 99 current. I think that’s what it is. It’s just the, because some of them have been deactivated so active. Yeah.
Kyle Rice (08:23) Perfect. Sounds good. Yeah, just let me know if, let me know if you guys happen to have like an updated list. I can make sure we get those into process for you guys. I don’t know if you want to get those into process a little bit early or if you want to do it closer to the contract end date. So like everything is accurate and up to date and pertaining to like license expirations, because I know we’re processing quite a few renewals up until the contract end date. That have, I believe it’s the end of April that we were processing. And then we can kind of just marry those up to make sure we’re in lockstep moving forward to ensure you guys have accurate updated data.
Natacha Julien (08:57) Excellent. Thank you for that. So, I think you already answered this question, but I’ll ask it again so you can have a list of all license applications in process that will be handed over to us, and then the last day with their status as applicable, like pending any actions we will have.
Kyle Rice (09:20) Yeah, absolutely. We can definitely export that for me from the platform and we can provide a current kind of status. I would recommend we do that maybe closer to the April or excuse me, may fourth day. I’m getting my months confused here as we’re in spring. So I’d recommend we do that a little bit closer to the end date, just so you guys are getting the most up to date information because the team will be following up on those requests up until may fourth.
Natacha Julien (09:44) Up until may fourth, I think you go, you guys go 30 days 30?
Kyle Rice (09:49) Days post, yeah, 30 days post that expiration date, but.
Natacha Julien (09:52) Okay. So, should we follow up closer to the post or closer to term date?
Kyle Rice (10:00) I would say we, some of my, it kind of depends on what you guys want to do. If we want to keep like kind of a close touch point or meeting point, and maybe I’d recommend with Poonam Ambri, and Evelyn to sort of tracking status up until that date. And then I’m happy to provide those 30 days up until that 30 days post term date as well. So we can kind of get a timeline going and then provide that data export with like current license status and any requests that we have remaining in the system. Just so there’s a smooth transition over.
Natacha Julien (10:30) Okay. Thank you for that, Kyle. So we’ll do one posted to the fourth of may and then we’ll do a last one. Sure June first.
Kyle Rice (10:39) Sounds good too.
Natacha Julien (10:40) Or June fourth, whatever I think it’s probably best to just do it like end of date. So that would be everything. Perfect. Okay. So that will, yeah. So that will include license application in process and a lease of all the renewal applications in process, right? All applications? Okay?
Kyle Rice (11:00) Yeah. Everything that’s current in process will come to, the table with the current status on for you guys.
Natacha Julien (11:06) Okay. Excellent. So… anything, any suggestion as well, Kyle from you on, you know, like previous based on previous client terminations? What would you suggest that, you know, like we do without giving any medallion secret?
Kyle Rice (11:30) In terms of like processing for requests or like entering new requests, just trying to get a little clarity here?
Natacha Julien (11:36) Yeah, clarity on, you know, what are your, like, what’s your best practice? What have you seen, you know, from other clients as determining that, you know, like we have not requested that you think will be helpful? Yeah.
Kyle Rice (11:50) Definitely the renewals which I think Amy had covered down on with you guys just getting those in the process. I did see you guys, I saw Poonam put in quite a few renewal requests through the end of year. So I did expedite those with our intake team to get those in the process. I would just be mindful that some of these accounts may have multi factor authentication logins. So we will assist with getting those transitioned over and we can help kind of support that through our support team as we kind of walk through the process here. I would just say in terms of anything in process, just keep a close eye on any pending provider tasks that are outstanding. This will kind of help facilitate this to make sure we have everything submitted at the board and fingerprints as well. And just kind of be mindful of the provider tasks and admin tasks that are coming through just so we can get those cleaned up and kind of aim to have everything submitted to the board prior to that churn date, that way that all you guys would need to do is just follow up with the board to license issuance. And then I imagine we should have most of these renewals locked up and cleaned up with new expiration dates prior to that termination date.
Natacha Julien (12:58) Okay. Excellent. So right now, I know to confirm you guys will do all the March and all the aprils. So we’ll have to start from anything expiring starting may first?
Kyle Rice (13:11) Yes, exactly.
Natacha Julien (13:13) Perfect. Okay. I have a question, yes, Aubrey.
Aubrey (13:18) Kyle, is there any way in the way that Google groups are set up? Is there any way to set up some kind of forward? So when licensing emails go to that Google group email that it can forward to the provider’s personal email. Is there any way to do anything like that? Let?
Kyle Rice (13:39) Me double check on that. I don’t believe we’ve done that historically but we actually are not utilizing Google groups. We’re using an internal medallion team email that’s built into the platform. So we received those kind of directly in conjunction to that. Let me check and see that. But I’m not aware of any like forwarding capabilities at this time, but I’m happy to take that back and confirm Aubrey.
Aubrey (13:58) Okay. Thank you.
Natacha Julien (14:04) Great. That’s really the bulk of what I had and Amy just to confirm you did receive the signed addendum, right? So that’s all set. Okay? And, you know, we’re waiting to hear from our recruiting team in terms of new clinicians that are getting recruited. So… that’s all I had unless the team had any other questions or, yeah.
Kyle Rice (14:42) That sounds good. I’m going to keep a close eye Natasha on any new requests coming through as well as I think you mentioned kind of previously that there was you’re recruiting these new providers that need to go through credentialing first. So I would just, I would just give like an important tip there.
Kyle Rice (14:58) We just need their, if there are any new providers, you know, being added to platform, we just need to get them to the minimum threshold of 85 percent with their profile completion. And then just with that signed their agreements section with, that will complete the credentialing application and allow our team to pick up these credentialing requests. Immediately. Typically when, the application is complete on our side of the house, they will be picked up, you know, same day or next business day. So I just want to notate that is, you know, super important in terms of, you know, helping to expedite any final credentialing requests that we might have coming into the system.
Natacha Julien (15:35) Okay. Excellent. Oh, thank you. Yeah, no problem. There’s another question that fees… how long do we have? As you can see, right? You know, Kyle, we keep getting this request like clinicians who are either resigning, you know, we keep getting this request to get, the fees from medallion. How long do we have? Is it also the same 30 days after or since these are not, since these are like report that can be pulled, Amy from finance? Is that, do we have like, can we do this anytime or is that also 30 days after? Because that would be pretty tough for us?
Kyle Rice (16:17) In terms of because?
Natacha Julien (16:18) We don’t have access to that at all unless we get a report also of all clinicians’ pass through fees individually. Is.
Kyle Rice (16:27) that pertaining Natasha to the like the clawback clause with some of the providers, if they’re churning or leaving, Amy, do you know, offhand if we’re able to pull those from our finance support team, you know, post churn or if there’s any unique process for that?
Amy Walsh (16:41) I’m not sure. So, Natasha, are you looking to know? I think I’m not really following what you’re looking to get. I can clarify. Okay. So.
Natacha Julien (16:52) We have a clawback clause in our agreement with clinicians that if they leave curai, you know, like less than a year after they join, that they have to pay back their licensing, pass through fees.
Amy Walsh (17:11) Okay. So.
Natacha Julien (17:12) What I do now, I’ll send an email to Kyle and Kyle will send it to finance, and then finance will pull that report to show, you know, Natasha, Julian had that many new licenses and these were the pass through fees. So currently, right now, that comes from finance. So I’m asking if, after the termination as of June fourth, right? 30 days after termination, how would we get those reports? Yeah.
Amy Walsh (17:45) I don’t think that’s something we would be supporting once your contract terminates… the reports that we’ve been sending you though haven’t, we been, have you only been doing it provider by provider? Have we been sending you an invoice? Okay? Because we do have the ability to send you all providers pass through fees. So we could do like a retroactive poll so you would have, you know, the past year, but that?
Natacha Julien (18:09) Would be great, but I have to be able to sort it right by clinician. So I can’t just have like one dump of invoice, pass through invoice, it has to be… right? It’s like has to be like Natasha Julian, and then all the invoices pass through invoices for Natasha, Julian in all licenses?
Amy Walsh (18:31) Yeah, I don’t think that’s something we would support past your contract.
Natacha Julien (18:36) Okay. So then I will need that report like now or up to June fourth. So all the pass through fees that you’ve done for all our clinicians, okay? Yep.
Amy Walsh (18:49) In the past year though, right? Not further than that.
Natacha Julien (18:52) Okay. No, just in the past year because then, you know, we’re not if they’ve been here for more than a year, we don’t need it. Okay?
Amy Walsh (18:59) We can ask our finance team if that’s something they can put together for a full year retroactive?
Natacha Julien (19:05) Perfect. Thank you.
Amy Walsh (19:06) Yeah, absolutely.
Kyle Rice (19:10) Perfect.
Natacha Julien (19:12) That’s all I had.
Kyle Rice (19:17) I was going to ask Natasha. I know we have our next call coming up on April fourteenth. Do you want to add like maybe an additional touch point between there and may fourth? Just so we can keep a close eye on status flag anything you know, additional needed, just really want to support you guys in a smooth transition. You know, as you guys step away from medallion here, we can just to see if that’s maybe agreeable with the team and then we can just kind of maybe add something ad hoc coming up to may fourth, just so you guys are aware of, you know, everything in process and that, you know, transition goes over very smoothly in terms of, you know, any updates to status or anything in that nature?
Natacha Julien (19:55) I would love Kyle if we can actually do until our term until our term. I’d like us to meet twice a month, okay? If possible, and then one more time prior to between may fourth and June fourth?
Kyle Rice (20:13) That sounds like a plan? Do you want to add? So right now, I have us meeting on the fourteenth of April. Do you maybe want to change this down a little bit earlier? So we can have something maybe the start of April maybe like April tenth, and then maybe towards April twentieth, just so we have a close touch point and then we can schedule something on the April or sorry, may I’m getting my dates all confused here with spring with may. And then we can add that additional meeting post 30 days, the first week of June.
Natacha Julien (20:41) Sure that’ll be great. All.
Kyle Rice (20:42) Right. Perfect. I’ll get it scheduled for that, and then we could just kind of start to what I could do is come to the table with current status for everything in process. And then we can just kind of go from there and make sure we are, you know, staying on the same page with everything in process.
Natacha Julien (20:57) Excellent. Thank you so much, Kyle, appreciate it. Always appreciate the support.
Kyle Rice (21:04) I’m happy to help here. Yeah, in the meantime, just let me know if anything else pops up. I’m going to keep a close eye on some of these requests coming through. We’ll get these expedited and then go from there. And then I believe we’ll have the cutoff of April fourth for any new requests coming down the line here.
Natacha Julien (21:21) Excellent. Thank you so much.
Kyle Rice (21:23) Perfect. Cool. Anything else top of mind for this afternoon?
Natacha Julien (21:27) No, that’s it. Thank you, Kyle. Thank you Amy.
Kyle Rice (21:32) No problem. Thanks everybody.
Natacha Julien (21:33) Okay. Bye bye.
