Naomi Denson (05:56) The caqh agreement form in the provider’s profile is optional. However, if they are enabled for caqh management… we can, that is what gives us permission to update and manage their caqh. So anybody that’s going to be enabled for caqh management, they do have to sign that.

Naomi Denson (06:32) Yeah. So they don’t have to sign that. That’s just giving us permission to log in and make changes to their caqh profile as needed… or for the caqh management purposes. So, if caqh is enabled for a provider and they have not signed that, then they’ll get a task set that says they need to sign it before we can move forward. But, yeah. So that one is optional, but it can’t be removed. It’s just optional. They can skip it.

Naomi Denson (07:18) No, if they are enabled for us to, for caqh management, which means that we are managing their attestations for that group of providers that I think it’s under Scott, his providers that are not.

Naomi Denson (07:38) It’s in the providers in the providers directory tab. It’s this checkbox over here.

Naomi Denson (07:49) directory, to the far right, there’s a checkbox. So you can check that box. If you want medallion to manage their caqh. Once you check it, you can’t uncheck, it. You have to reach out to us to disable it. So, yeah. So that will be up to whoever’s managing the providers on your end to either let us know and send us a list of providers that it needs to be enabled for. So we can do it in bulk one time. But as new providers are added, if you need them to have their caqh managed by medallion, you would need to check this box after you’ve created their profile.

Yes, completing. Okay. Yeah, perfect. And then I did just want to touch on the licensing, the auto renew that we were talking about yesterday. So right now the team is working through providers. You are enabling the opt in option for certain providers to auto renew, request their licenses. But currently, because the providers have not been invited, they’ve not logged in. You’re still managing the licensing renewals currently, but it’s still generating requests in medallion. So I just wanted to align there on once we invite the providers they’ve logged in that we would be taking over the licensing renewals that you’ve opted in for from that point forward. And you would no longer be submitting them on the provider’s behalf that medallion would take over.

So I’m digging into that a little bit more, but just keep an eye on that licenses request tab and make sure that if you see any that are sitting in there that you’ve already done, make sure you flag those to me or through support so that we can stop the request that you’re not charged for them. Any that are still sitting in a requested status, have not gone through intake yet because the providers have not logged in and done their agreements. But once we send out the invites and they start logging in, if they’ve completed that and they have a request in, it is going to start processing through our system.

Naomi Denson (15:37) The expirables tracking, you don’t have to go in and update the document because the expirables tracking and license verification monitoring that is in your contract is being done automatically through this screen. So, it’s going to you’re. Going to get an expirables report regardless of if it’s on the document and… notifications. No.

Naomi Denson (17:23) No, I’m saying for the licenses for the expirables monitoring, you’re going to with the license verification monitoring that you guys are contracted for. You’re. Going to be getting expirable reports sent to you directly that will flag any upcoming license expirations, the expirables tracking in the platform from the overview tab that’s only tracking the expirables of the documents that are uploaded. But the actual license verifications are still being monitored and tracked in the provider’s profile under their existing licenses.

Naomi Denson (18:04) So, you don’t have to add an expiration date to the document itself in their documents tab, as long as it’s on the existing license record in their profile. So as long as it’s in here… as long as the expiration date is in here, medallion is monitoring and verifying these. And as they come up for expiration, any that are not already expired as they come up for expiration, you’re going to get a notification if they like… 30 60 and 90 days out from expiration, you’ll start getting notifications that their license is coming due for renewal.

13406900810 (18:50) And when do we have the opportunity to stop an auto? How much in advance can we stop an auto?

Naomi Denson (19:03) Needs to be stopped before the renewal window opens before the renewal window as soon as the renewal.

13406900810 (19:10) Window. So, if it has a one year renewal open, if they have a one year whatever, or… we have to tell you in a year’s advance that we don’t want you to auto renew that.

Naomi Denson (19:26) If you don’t want us to auto renew it, then you just disable it.

13406900810 (19:31) But what I’m saying is, okay. So you’re saying, okay, like how… do I explain this… once they go live, right? You’re saying, like the April thirtieth one because it’s open, we’re going to get charged. So I decide next week that we don’t want. I don’t want one of the ones that expire on the thirtieth to auto renew. It’s too late. It’s gonna, you guys are gonna charge us whether you do it or not?

Naomi Denson (20:12) If it gets to, so if it gets requested and not stopped before our intake team finishes their review, then, it gets charged to you once it reaches intake complete. So, how?

And in the end of this week, say Friday, the doctor, we decide we’re not going to auto renew that one and I remove it from auto. We’re going to get charged whether you do it or not just because I requested it on the second.

Naomi Denson (21:23) No. So if you were, if you request, so like let’s just look at this one, for example, it’s six six thirties, the expiration date, the renewal window opens. May first, this is opted in. So on may first, this is going to automatically generate a request for us to start the renewal process.

Naomi Denson (21:52) Yes. So, this is April thirtieth view request. Nope. So if you see this and you open up to view the request, if it will load you.

Naomi Denson (22:34) So you’ll see from requested, you’ll see all of these intake statuses once it reaches intake completed, is when you’re charged for it. So you’ll see when it goes into intake. But if it reaches intake complete, that’s when it gets pushed.

13406900810 (22:51) To our, so anytime before intake complete, yes, we can stop it. Yes. And to stop that request, I… would have to unrequest it. And then after the renewal request it again if I want it for next year.

Naomi Denson (23:12) So if you are, if you are going, is that the plan is for you to pick and choose like and not just by you?

13406900810 (23:20) Know, no, no, no, I’m just saying, yeah, I’m just saying like, okay, so I have one right now that it’s… the 30 first. Obviously, I’m going to do it. It’s already done, but I haven’t done it in here. So if it’s after Thursday, we go live or whatever, and I didn’t I have to then unrequest it. And then once it renews, then I can request it again for the next year. Is that what I have to do is that my process?

Naomi Denson (23:56) If that’s what if that’s going to be a recurring situation where a request might come in and then, you know, you decide you’re going to do it. I would just turn off the auto, opt in for that one so that you can decide, hey, I need to request this from medallion instead of us auto requesting it. You having to remember to go in and cancel requests or stop requests before you get charged for it? The best bet there is to just turn off the opt in for the auto renewal. If it’s not truly going to be, you know, medallion is going to own this. They’re going to do the auto renewal every single time and not a, well, maybe they’ll do it if I don’t get to it first type of situation. So if that is going to be the process for you all to pick and choose which ones, I would just make sure that you’re manually requesting the renewals when.

13406900810 (24:50) They’re needed because, yeah, no, I’m just saying in this instance, because of the cutoff date, you know, we didn’t want to wait like to the last minute to do like certain, you know, renewals and stuff like that, certain license renewals, there’s that funky kind of period. But like I don’t know, we have a provider that might be retiring and he’s decided not to do it. I just unrequest it or then he says, no, I’m not retiring and then I have to request it again if.

Naomi Denson (25:27) the request is stopped and then you do need medallion to work it after all, then, yes, you would have to re, request it so you can’t unrequest, you have to. So from the notes section on a request line, you can click the get support button.

So, in the privileging tab… when you need a reappointment so you have the existing appointment in here and you’ve received a communication from the hospital and you need to request the reappointment to be done, you’re going to find the reappointment in here. You can search for the provider, however you need to do. And then you would just go to the three dots on the right here and click request reappointment. And that will kick off the reappointment for this entity. In these privileges. You can also do it from the provider’s profile. In a provider’s profile. They also have a privileging tab and an existing tab and has only their appointments. So you can request the reappointment the same way.

So, with this new feature that Adalee is talking about the privileges for that appointment would be listed in here. And then when you request the reappointment… see request, any new reappointment? So, yes, you would select the provider. So, this is just another view. You would select the provider, the entity, and then any notes. And then on the next screen is where you would select the privileges.

And then the doctor also has a login. So we both have logins… to work in the application. Obviously, the doctor has the signing privileges, but we… work in there as a delegate. Would that be Jackie, or are we have multiple people working on our appointments and reappointments? New appointments is a different person for a new appointment versus a reappointment?

Naomi Denson (38:53) So for the online applications, the logins… yeah. So when would be our privileging team? And I’ll have to get the not Jacqueline. It would be the privileging manager. But let me get the information from her on who that should be. And then when you request a national appointment or a reappointment… we’ll I’ll let you know what the process flow is. There are other customers that I’ve seen. She has them go into the provider’s profile and add the log, username and login to their external accounts tab that we should use. But if she’s going to have her own, I’ll… have to, I’ll have to confirm with her how that works, if there’s one that she has to have or if we have to have a different login granted… to us?

Naomi Denson (41:49) Yeah. So when we do them, so I did the wrong one. Again, when we do them, so in progress. So our team will be working the hospital appointments. When you submit a request for an initial appointment or a reappointment, they’ll show in this in progress screen here, you’ll see all of the packet of all of the information the PSB reports, if applicable there. And then it’ll show when the application was completed, this is for the provider’s profile. So it’s pulling the information from the provider’s profile to complete their application information. Our team then fills that out, collects everything that needs to go in with it. And then once we have everything, it’s going to be marked ready. And then once it’s marked ready, it’s going to.

Naomi Denson (42:49) be sent to the hospital. And then while it’s in the committee workflow is when we are awaiting the approval from the hospital. So we’re waiting on the approval letter from the hospital. And then when we get that, our team will close it out with the decision in here and upload the approval letters.

So it gives you an idea of the privileges that are associated with that doctor, also, if they’re a night, you know, if they’re a night rad, if they’re a day, if they’re a partner, if they’re an employee, different things we like to put notes, for that particular provider.

Naomi Denson (44:57) I mean they do have a notes field in each profile that you can add notes to?

Naomi Denson (45:07) Just free form notes. But yeah, each provider profile does have a notes section.

So from the privileging tab request, new initial appointment, you would select the provider, you can search in here for the provider’s name, and then you would select the entity from the list of entity options that we imported for you. So this is a demo. Org. So these aren’t, your true entities, but you can add any notes. And then on the next screen and then you can, you don’t have to choose privileges if that’s going to be on the application that’s provided to us from the hospital. So, and then you would just hit submit and it would generate the request for our team to start reviewing. And then if you have any forms, or the application or, you know, login credentials that we would need to access the application, then, you would provide that to us in the notes here, and then attach it to the line after the request is made. So once you’ve made the request, if you have any forms or documents, you can add a note and then add any attachments relevant that you need to provide to us here, but isn’t.

Naomi Denson (51:22) Documents like the actual application, you didn’t provide us any applications or sops. So if there’s a portal that we need or a login that we need to have access to log in or a PDF or paper application that we should have, that is from that entity, like you requested the appointment from the hospital, they sent you an application or if the process is that we request it from the contact that you provided to us, then we would request that and have it.

Naomi Denson (52:05) Like a new provider that’s not in medallion that you need a profile for? Yes. Yeah. So from the members tab, you can invite a new member provider, create their shell profile and then you can click this to invite them right away and say you should have an invitation.

Naomi Denson (52:23) You need to go in and complete your profile, or if you uncheck this box, it will hold the invitation. So if you are going to do any of their profile for them before you invite them, you can go back and invite them later when you’re ready for them to engage.

And then our team when they did the approval, they would add them… but now they’re forward facing so that you all can see them as well. It was just an enhancement to change the view of where they lived in the platform.
