Karen Mok (02:23) All right. Hi, everybody. So we are working on what a solution will look like for specifically the forms that don’t have the provider signature or the counter signature from the committee. And I think what we had talked about before was that we would attempt to add that. Let me just share my screen. I can show you guys an example on our side because right now, like this form is not really fillable by the provider. We want to make sure you know, the provider has a seamless and easy experience so that there’s no friction here. I think the question we had for you, Renee, is if we were to set up a medallion format for the form where we kind of propose like we would have all the same content like we would have all of these privileges listed, but we’d have like a… template that for the dop, it’s going to be a lot easier for us to basically regenerate all of these privilege forms with a set template that we come up with the required fields than it is going to be for someone to like manually add in those fillable fields into every single dop. Just imagine that’s like opening up the form, adding text boxes to the form, downloading the form, closing the form. So I’m curious if you guys are like, okay with that or are you like hopefully not too attached to this specific format. Would there need to be some sort of internal approval process for you to use them?
Rene Dillow (04:03) Right. I would want to get Tamala’s… stamp of approval before we did that. Okay? But, I mean, I’m open to it, but we need to see what Tamala wants to do.

I’m going to start working on building those committees and the different flows to get them into medallion and ready.

Naomi Denson (05:16) Let’s see. I think we got one new npdb authorization today, but it was for a cbo center that was newly added to the tracking sheet. So it still looks like there’s two outstanding on the cbo side for the npdb relationship. For the data import template, we’ve got just about all of them that we’ve received. Done. There was one outstanding question for Tampa Payne that Victor answered today. So, Jim should be able to get those done by the end of the day with the enrollment data. Any new data templates from either side that are either in the works or on the way or that I’ve missed. Maybe I was thinking through to make sure I didn’t miss anything, but I.

And then Tamala, all of the ones that Tamala sent me so far are done. I know we’re still working through the MD-Staff data. And then she had alluded last week that there she is. She’s joining perfect timing.

Naomi Denson (07:22) All right. Let’s backtrack just a little bit with Karen and Renee on the dop forms now that Tamala is here, hi.
Karen Mok (07:31) Hi, Tamala. Yeah. So just as a reminder, when we looked at the dop forms, last time, one thing that we discussed was that these forms are missing a provider signature field and a counter… signature field by a committee. This is not the correct format if I may, for a provider to be able to complete this and there’s no kind of clear indication of where they would check. So, we had talked about medallion adding those fields so that ultimately the provider can set this up or can complete this. So my question to you is would you accept us kind of generating a new dop template that has those fields and then just adding all of your privileges on there, that’s going to be easier for us than manually going into opening every single form, adding those fields here as you can imagine, it’s like completely manual work to do. And there’s like three to 400 forms. So that would take us honestly a really long time. So we’re trying to think of a way to do this faster. But I do know there’s like approval processes necessary for a dop form. So I’m just curious what your thoughts are on that option. Secondarily I think if an admin is completing this on behalf of the provider, that might change things because the admin might know what to do with this form. So I’m curious to hear your thoughts on that. So.
Tamala Harris (09:08) I thought we’d agreed that these would all be listed under one thing, either core or non core. You put all of those pieces and then they would just click the ones that they wanted. Is that not what we’re talking about here?
Karen Mok (09:22) No, we, okay. So we don’t have a click function. The way that mdstaff does, this is still like a PDF that is going to be part of the packet that is like sent, well, this will be sent to the provider or it’s going to be completed by the admin. We have both flows. So we don’t yeah, we don’t have that functionality that mdstaff has. So either way we have to use like a PDF form. What we talked about last time is that we would group all of these as core privileges when we display them after they’ve been approved. But before then when the provider actually has to submit or to request, we don’t have a click UI option for them.
Karen Mok (10:09) Does that make sense? So.
Tamala Harris (10:10) They get the form and somebody has to go through and check off each one of those that they want.
Karen Mok (10:15) Yeah. So they have to download it and they.
Tamala Harris (10:17) have to load it back into the system. Well.
Karen Mok (10:20) Usually, what we do is we have a form builder, so we will add like check boxes here so they can just click kind of like an E signature form and just complete it all online. But that’s obviously not, but that’s.
Tamala Harris (10:33) what I thought that’s what I thought we were doing to begin with your clickable PDF form, that they would just click the box?
Karen Mok (10:42) Okay. Yes. But what I’m saying?
Naomi Denson (10:44) Is that for?
Karen Mok (10:45) Us to actually turn this document, this Google document into that clickable form is like completely manual work. Like one person has to go into like 400 forms and add all of those clickable fields. And that is, like I said, it’s going to take us a very long time to do that. So, the proposal that I wanted to offer is if we could come up with our own template for the dop and then just generate all of these as… like new templates that are medallion templates versus the mdstaff template.
Tamala Harris (11:23) That’s fine. As long as it matches. I mean, you can make your own, you don’t have to, you know, try and convert ours into that. But I think as long as long as all of those options that we have there, you can put them on your own template to where people can then. Okay. Yeah, that’s fine.

With those templates. The only thing with northern Ohio is there was one existing appointment for a provider on the template that had pending on it. So it wasn’t completed. I guess they couldn’t they were still awaiting that.
Tamala Harris (12:17) Was that to be determined? One, right? And I, and we were going to put the,
Naomi Denson (12:23) yeah. So.
Tamala Harris (12:24) We were just going to put the date and then we would update it once it because it’s going to go through. It just hadn’t gotten a governing board yet. Yeah.
Naomi Denson (12:32) So, we loaded the provider’s profile,
Tamala Harris (12:35) Huh.
Naomi Denson (12:36) We loaded, the provider’s profile with that, the current date as the start date, but the existing appointments tab where we’re loading those that was not loaded for him because it’s it wasn’t existing. We don’t have a current date. So, okay, later on like when we, when he’s approved or when we do our training, I’ll show you how to add existing appointments to the platform, if they come in one off like that. Yeah. So, but everything else was loaded. Okay?
Tamala Harris (13:08) So, I had a meeting today. As far as that next bullet, I had a meeting today with one facility that’s starting there to fill out their implementation template. I’m keeping a list of those. Okay, we’ll need to pull out of the MD-Staff data because they’re filling out. And then there’s four others that I meet with tomorrow to get them started as well. And then let’s see. Let me pull up the thing to see how many more we had left… because all of those across the bottom, I think there were six down there. Across the bottom. Those six were not a part of the cvo and we’re not waiting on MD staff’s stuff for them. So let’s see.

Tamala Harris (13:53) So, Delaware, well… maybe remember. So, Delaware’s dupont and st Louis specialty those three. I still need to get, I believe I still need to get import templates from.

And then the others are up at the top up there with the, and so once those five give me their items, then we can go ahead and set up our training and we’ll make sure and get it recorded. But I want to go ahead. I’ll get those five together first so that we don’t that looks off so that we don’t you know, kind of that we don’t overlap, or mess up anything. We’ll get the training scheduled. I think, I know that our it team has been talking to MD-Staff, so they report they’re making some progress. Okay?

We had said that it could be shared over? We could look at it and review and see what kind of feedback or advice that we could provide, but they haven’t shared it with us yet. And we can take a look at it and see if we have any suggestions or, you know, can provide, any guidance or answer questions on it, but we have to actually see it first before we can determine how much help we can be. Okay? All right. So if you get any of those five templates, same process, just send it over to me. We’ll get those loaded. I confirmed that I received the cvo, the committee voters sheet finalized from Renee. So I’m going to start building the com, the committees, okay? Just if you can share the first priority centers that are wanting to move forward, and try to go live with, the credentialing piece so that I can make sure that I prioritize those building the committees and making sure that they’re set up appropriately, so definitely.
Tamala Harris (18:05) The ones that you already have checked off there in. So I would say that priority is going to be anyone we send with the implementation template because the rest of them, you know, until we get that MD-Staff data. So I would focus on all of those first, those who have sent in implementation templates and then you can start navigating through the others. Okay?
Naomi Denson (18:30) Sounds good. Perfect. And then Victor just want to connect on the south Texas fine practice location issue. Yes. I am waiting on the team lead from payor enrollment to let me know next steps there. What they are suggesting currently is that we hold all of the requests that were submitted with the not correct, the incorrect practice location. And then we, and then have you re, request new enrollments with the new correct location. And then once you have the legal ownership of the other practice location, we can unhold them and then process them as demographic updates to add the new, the… secondary location or update the address? Okay? Yeah, does.
Victor Tiller (19:22) That.
Naomi Denson (19:22) track with you. Is that, is that okay? Yeah.
Victor Tiller (19:26) So you’ll still process the credentialing to move forward with that address since it matches what’s on, the pcos, right? And then we would just, but then when we actually do nail down the location and get that added and… with medicare, yes. Then.
Naomi Denson (19:43) Later on after the initial enrollments are approved with the correct address that we saw in pcos, then we would, we can request to add the secondary or the new location to the existing enrollments once they’re processed.

Victor Tiller (20:46) No, I’m working on, I’m working on the other two right now. Just got to have set up a couple meetings just to verify some stuff before I move, get it all done. So that’ll be probably that’ll be for TPG.

Naomi Denson (21:09) I was more referring to the, is there a need for a go live with any of those centers to start submitting enrollment requests in the near future?
Victor Tiller (21:20) Oh, not that I know of at this moment, okay?
Naomi Denson (21:23) Just wanted to make sure see if any of those are coming. If that changes. Let me know so that, we can coordinate that. But I will say Tamela for revamp. There. Is that one credentialing file request that is in process? I did see today that there’s a task on that one because the provider’s profile is not entirely complete. So they’re needing some additional information so that’s available directly in the platform.
Tamala Harris (21:54) So, let me, I just, I think it’s Justin shoot him an email and remind him to look at that alert. Yeah.
Naomi Denson (22:04) We just want to make sure with so many different practices being set up and they all have a different practice admin that’s monitoring work that they’re all aware of the tasking system and that they need to be, you know, checking in on things and, watching those tasks. They should be getting automated email reports, when there are tasks as well as the providers. So just want to make sure that work isn’t being held up and nobody’s aware. So, yeah, I don’t know if you want to, if you have or plan to share out that training library with the different practices and their individual admins. So that they, well.
Tamala Harris (22:43) We’ll be, we’ll be sending it. I mean, we’ll the, I guess we’ll be inviting everyone… that is on the list and then we’re going to give access to the recording to anyone. So as we, our denovos are looking at as we build new facilities, we’re looking to have them join also. And so we want to have it where everyone can access it.
Naomi Denson (23:11) Okay. And,
Tamala Harris (23:12) then I will make sure that I get message out to them as well to remind them of that. And we’ll make sure in the training that we remind them of the need for them to stay on top of reviewing those. I know they’re already getting the emails.

Tamala Harris (23:30) shared with me today, they’re already getting emails… like, you know, the emails I get right? That tells them whether they have tasks or anything like that. So they’re already receiving those and I just need to make sure they’re paying attention to them.
