Jon (00:29) Sandhya. Hi, Sandhya. Nice to meet you too.

Connor Morley (00:35) Yeah. And John Sandhya is the she’s… taking point on the neurocare project?

Jon (00:44) Okay.

Connor Morley (00:45) So, I think we had talked to the rest of the team yesterday and wanted to get you looped into some of our weekly meetings to kind of just cover everything that’s going to happen.

Connor Morley (00:59) It did sound like there was a little bit of a stakeholder change and now you’ll be taking over. Is that the case?

Jon (01:08) Yeah, yeah. James kind of transitioned to a different position in the company. You know, he’s still going to be, it’s not like he’s gone forever, females still go through and stuff. He’ll either respond or get stuff to me. So he’s still somewhat involved just not the degree that, you know, he was when we all first met, sure.

Connor Morley (01:32) That makes sense. And no problem. So, we’d… like you to start joining in the weekly implementation meetings just so that we can cover some of the progress that’s being made. And then to your original ask which is let’s… start working on those Pittsburgh and knoxville areas and those employees. One of the biggest questions in terms of how quickly we can get this moving is what are your data segregation, kind of requirements as a company? Like do you need the knoxville, Pittsburgh locations and those providers to be in a separate environment or is it all right for them to be within the current neurocare environment that we have?

Jon (02:19) Set up. Yeah, yeah. So that’s what I wanted to talk to you guys about and just to backtrack before we get to that, you know, this credentialing situation, it’s kind of a fluid situation which I’m sure it is at a lot of practices that have providers come and going, whatever. So knoxville to give you guys some context and, you know, the urgency for these other clinics, knoxville… I’ve recently and recently, like one last summer. And then one in December, I had two new nurse practitioners start and we’re trying to build up their practices… and it’s just meds management, a little bit of therapy. But we had someone internally working on their contracts and adding them to the roster. That person, there… were some issues with that person. There were questions around whether the contracts were complete. Now, they seem like they’re okay in knoxville. So it’s not a contracting problem in knoxville, but I now have a nurse practitioner in New York that’s going on maternity leave in may, late may.

Jon (03:51) And I have two nurse practitioners that I’d like to onboard for New York. So they can actually, you know, be able to bill. I know it may not happen by late may, but sooner than later. And if I get a couple contracts early, great. You know… so now it’s really New York… for the two nurse practitioners and just two contracts for one doctor in Pittsburgh. And those are the government like the tricare and the va community care in Pittsburgh. Those are the only two that I need help with there because, you know, the va called us and said, hey, we have patients to send you and we can’t take them because we don’t have va community care. And there’s just this never ending question with tricare. So I think if I can get just these two nurse practitioners in New York. And then those two contracts potentially completed in Pittsburgh, I’ll be good till may when all of our stuff is done. So, I think knoxville is okay for now.

Jon (05:06) And if it’s not, the person that was originally involved is going to have to complete those because, you know, I think it’s just going to be too messy having, you know, you guys try to pick up where someone else left off. And, you know, I’d rather just have you guys start from scratch with, you know, new providers. Okay? Now, as far as the buckets go, Jenny, I did speak with Jenny yesterday after she met with you all, you know, after speaking with her because I had a different opinion initially. It sounds like it might be okay just to have everybody in one bucket, you know, I guess my question. Would be number one, just to confirm what Jenny said, which is if we have five clinic groups even though they’re all in one bucket, like a manager for a clinic group, can see one clinic group, but we might be able to block the other four from just from being visible. Is that correct? Yes.

Connor Morley (06:17) You can, within medallion, we can do what’s called team assignments, and you can base those teams on tax… ids for groups or by physical locations at clinics. And if you wanted to have one team manager or one office administrator, be a team manager for multiple physical locations, that’s okay, they can be, they can oversee multiple teams, but they would not be able to see or make requests for providers outside of that team or outside of that physical location or tax id.

Jon (06:59) So, and potentially, I could assign multiple team managers, yes.

Connor Morley (07:05) You can.

Jon (07:06) Okay. Yeah. Then I think then let’s make it easy and just do one bucket. Okay.

Connor Morley (07:12) That makes sense to me, in terms of.

Jon (07:18) You said team assignments are grouped by tax id or what was the other option, physical location?

Connor Morley (07:24) Okay. Yeah, practice location.

Jon (07:26) Yep.

Connor Morley (07:30) And we can show you how that looks essentially, like team managers have almost like limited admin access where they can fill out the information for the providers, as needed that are a part of their team, and they can make requests for those providers as well. So they can make payer enrollment requests, credentialing requests, things like that. The only thing that, where there might be a little spillover is, if I show you specifically, team managers do have the ability to look at, and this is the neuro care, medallion environment. Right now, they would have the ability to see all of the tax ids for all of neuro care, and they would have the ability to see all of the practice locations for neuro care, but they would not be able to see the providers that are associated with those profiles with those tax ids or those physical locations.

Jon (08:35) That’s fine. If with your other customers that may have a similar situation, James mentioned to me that, you know, he had a thought about having baas signed by both parties, but do you think that’s even necessary? I mean, it doesn’t seem like there’s really any sensitive information. I mean, npis are on the internet, addresses are on the internet, and if they can’t see the provider’s personal details other than the person managing that bucket, I mean, are baas even seems excessive for my?

Connor Morley (09:08) Other customers who have set up teams to do this baas, have we have not gone the baa route? We also do not store any, patient health information on the system. And, like, for some of my other customers, they have given like team manager access to, contract agencies for credentialing managers. So they can only see the profiles of those contracted employees. So, I think it’s okay. I haven’t, I, to be honest with you, I have not seen any, business agreements put in place when we do these, and we create these teams. Okay. Yeah.

Jon (09:54) It doesn’t seem necessary. Yeah.

Connor Morley (09:57) So, in terms of like moving, as quickly as possible to get things set up, I have a list of requirements that we’ll need for these providers in these locations. All of this can be entered into medallion. So, I think what we would need to know is who on the neuro care side will be entering in the group information and the practice location information? Because not only will they need to create a new practice, but there is a list of information within each practice that we’ll need. So, some of this is optional, but we’ll need to know the address, office manager, name, email, practice, email. We might need a business license or state registration, and then we’ll need to know the operational info for each practice location. And for the group information, we do need to know things like your, some financial information, like tax classification, irs letter, bank letter. There’s a lot of information like that we need. And you can see within medallion, what information is required in order to start with payer enrollment. I have a list and, I can definitely send this out to you,

Jon (11:11) And in.

Connor Morley (11:12) addition to that, we’ll also need the providers to be added into the system. We can assign them and link them to those groups and practices that are outside of Ohio. And then they’ll need to fill out, Connor, do.

Jon (11:25) The providers enter their own information once it gets to that stage, or is that typically done by the, you know, the manager of the account?

Connor Morley (11:35) So, typically, what I’ve seen is that we would, if we’re creating a team, the admin would link the provider to the group and the practice location. But then, I have seen that the providers actually go in and fill out, most of their profile information. We do, have an integration with caqh. So, if they have caqh profiles, we can pull in about 60 to 70 percent of the needed information. Your admins can go in and fill out this information for them, with the exception of they can’t sign any agreements that the providers need to sign. So, things like, information, release authorization, profile attestation, and an agreement to like update data. The providers do need to log into the system to complete that. Can you?

Jon (12:23) Are you able to email me, you know, like, directions, a link, any steps, any cause, what I’m thinking then I’ll do is I’m, gonna assign each of the practice managers. So, I have one for knoxville, one, for Nashville, one, for New York, one, for Dallas and Pittsburgh’s in kind of a transitional phase, but the doctor’s, very hands on and it’s a small little practice. So, she’ll probably do all that herself. I’m, gonna assign them, and then I’m, gonna have them put it on the provider to actually complete the, you know, complete the information, John?

Sandhya Kapila (13:10) Sorry to interrupt. I sent you, just in the chat, what we were working with the midohio team on, it’s just a template that may make it a little bit easier instead of like having to go into medallion directly. I can create a blank one for you that you can use and send to, your managers for the different locations. So, it’s basically just a spreadsheet that they would have to fill out if that’s if that would be easier that.

Jon (13:39) Would be awesome. Okay?

Sandhya Kapila (13:40) I sent it to you. I put it in the chat here, just so you can take a look to see what that looks like. And I will create a blank one, specifically, thank you, Connor. I’m pulling that up, I’ll create a blank one, for the knoxville team and, the New York team, right? Or? Sorry, the Pittsburgh team?

Jon (14:04) New York and Pittsburgh, correct? So.

Connor Morley (14:07) Do we want to just create an outside Ohio one blank one and you can include all of the different locations, we can go this route, this information like there is,

Sandhya Kapila (14:22) A decent.

Connor Morley (14:22) Amount of information that we’re going to need. But this does not necessarily cover everything. So, how?

Jon (14:33) Do you get everything?

Connor Morley (14:35) I can, we can generate that for you in an excel file for everything. It would just take me, about an hour to do that.

Jon (14:49) There’s.

Connor Morley (15:04) When we generate everything, this is all the information that we could require on say, like a group profile and not all of it is needed. It doesn’t clearly call out what is required for say like, payr enrollments and it’s a little different than, this spreadsheet that Sandhya showed you because it just looks like it just looks like kind of this with the blank headers. So, it’s not great. But so here’s where you put in your group profile. So you put in your tax id number, the mpi name, and you could put it in the incorporation state date and like have all your,

Sandhya Kapila (15:53) Bank.

Connor Morley (15:54) information, tax information in here. I was going to.

Jon (15:59) Say why, can’t we just isn’t there something, that was sent to Ohio that we could, just, you know, do the same use the same one. Yep, that was the one.

Sandhya Kapila (16:09) that we were sharing you, that kind of. So, yeah, we can, yeah, yeah, I.

Connor Morley (16:14) Would just say that I, your admins would still, even if we sent that one that Ohio used, you still would have to go back into medallion to enter in some additional information for the groups and the practices.

Sandhya Kapila (16:31) So, once, yeah. So, once all that data is loaded from that spreadsheet, there will still be missing data and then they’ll be notified that, hey, you need to fill this and this like Connor was showing you in medallion where there’s missing information. So then they would log in and then fill in that missing information within medallion. If they’re okay to do go that route, we can go that route or if you’d like us to generate what Connor was sharing with like all the specific fields in a spreadsheet, we can do that as well.

Jon (17:02) I mean, I don’t want to, you know, make you guys spend an hour doing something specific if it’s if it is pretty self explanatory, I mean, you know… if there’s the, how about this? Why don’t why don’t we just try it with what we have yep and if they have follow up questions or need something additional, is it okay to have one of the practice managers so I can put in touch with you just if they have a follow up question or, you know, they hit a roadblock of some kind?

Sandhya Kapila (17:32) Absolutely. Okay.

Connor Morley (17:36) And then I would say like in addition to that, we would want the providers to be loaded into the system very quickly. Yep. So I’m.

Jon (17:45) hoping to have that done by the end of next week.

Sandhya Kapila (17:47) Okay, perfect.

Jon (17:49) Because I’m meeting with them on Tuesday, perfect.

Connor Morley (17:52) I would just let them know we have some language, we call it like an announcement email template that we can share with you to let them know that this is coming.

Connor Morley (18:01) And then once they’re invited just to be on the lookout for an email from medallion, that essentially has them log in and start filling out their data. Okay. Yeah. Listen, I.

Jon (18:14) have people that can get this done and we’re motivated to get it done quickly. So, I appreciate the help, you know, with these other couple.

Jon (18:29) Yeah. It was really just getting, you know, more familiar with you guys and understanding where I have to go if I do need something or what’s you know, just what’s the best course of action for you guys. So perfect.

So, I think once we get a couple things done with these other clinics because really our relationship with you guys is, you know, a big part of it’s Ohio, but also then with new entities we’ll be partnering with or acquiring down the road and just having, you know, something that’s more efficient… than what we did have. Yeah.
