Kyle Rice (00:00) good morning. Good morning, Cheyenne. How are you doing today?
Cheyanne Soltau (00:03) Good. Thank you. I’m just setting up an external camera here. So give me one quick second so that I can make.
Janet Harris (00:12) sure that you guys.
Cheyanne Soltau (00:15) Can see me.
Janet Harris (00:17) Oh, I got you there. Let me see. Kyle. You look as cold as we are here.
Kyle Rice (00:23) You guys a little bit cold today? It’s a little bit chilly in North Carolina today.
Cheyanne Soltau (00:27) Yes.
Janet Harris (00:28) Yes, the last couple days.
Kyle Rice (00:31) Yeah, same up here. It’s been a little bit chilly. Spring was kind of weird. It started off a little bit weird. It was warm to begin with, and now it’s been a little bit chilly a little bit milder so, I hope you guys are staying warm and post holiday weekend here?
Janet Harris (00:44) Yes. Yep. It’s.
Cheyanne Soltau (00:46) supposed to get back warmer next week. So, or this weekend, I should say, so I’m excited for that.
Kyle Rice (00:52) Me too. We had the windows open last week and we got the heat on in the house this week, so I know how it.
Cheyanne Soltau (00:56) Goes, yep.
Janet Harris (00:59) I refuse to turn my heat on.
Cheyanne Soltau (01:01) Oh, no, I had to turn it on just to get the chill out the house.
Kyle Rice (01:05) Yes, yes. I, Gianna, I’m the same way as you. I try to, I try to, you know, refuse to turn the heat on. And especially in the spring, but my wife is home on spring break this week, and she was the same way just to get the chill out of the air a little bit. So, oh, okay. I’m stuck with that for a.
Janet Harris (01:19) Little bit. Yeah, I have an electronic or electric log. So I turn those on if I need to get the chill out, so.
Kyle Rice (01:27) Well, hopefully we got some warmer weather coming, but ready to jump into it.
Janet Harris (01:33) Absolutely.
Kyle Rice (01:35) Janet, I have the provider experience video about halfway completed. I was tracking those edits that you flagged me earlier.
Kyle Rice (01:45) I believe it was earlier this week or late last week. I know we wanted to add the emails to the last slide and then edit the transcript, but I just wanted to check in to see if we needed any additional edits while that’s in process?
Janet Harris (01:57) Not that I’m aware of if you can just do a review of it before you send it in case we missed something that would be great. Cheyenne, did you have an opportunity? She’s been busy, so, have you had an opportunity to look at the demo?
Cheyanne Soltau (02:13) Yes, I did review the demo. Okay. So.
Janet Harris (02:18) If you just make sure we didn’t miss anything, Kyle, that would be great. And hopefully we can move from there. The only thing that comes in conjunction, it’s not anything that’s going to stop the demo from happening is, thank you. I received the workflow updates for both the medical licenses and the Dea. Quick question. I know that you don’t do the board certifications, yes. But do you send reminders? Is that bundled into that group as well? I?
Kyle Rice (02:54) Don’t believe the board certifications are reminders. Let me double check because I’m not recalling that offhand, but I can confirm that for you. Janet. Let me just double check our resourcing for you after the call.
Janet Harris (03:04) Okay, perfect. Thank you.
Kyle Rice (03:07) If not, there is a section in the medallion platform. If you go to overview, let me share my screen over to as well here. View as rule. Let me share this. So under the overview section here, Janet, if you go to all the tasking and go to expirables, you are able to filter by board certification for anything upcoming. You just need to enable the category enable board certification. And then this will pull any applicable upcoming registrations that are aspiring for board certifications. And then if you want, I can enable some additional reporting for you just to give some additional visibility into board certifications. If you’d like.
Janet Harris (04:00) Actually, that would be great. I can do that. Yeah, I will have to check because I believe now, Kyle, does this report update real time? It?
Kyle Rice (04:14) Does update real time, but I think you’re going to ask for like maybe ilhelm, if he’s updated it, or Cecilia, if they have their old board certification that is updated in there, it will display that previous certification, but it looks like I’m just using Cecilia batchelor as an example. It looks like she is up to date and renewed. We just have her previous board certification on file here, which was flagging on that expirable report.
Janet Harris (04:43) With the registered dietitian or certified diabetic, educators, their certification changed. And so I didn’t want to delete it off of there, but it’s all in one now versus they had two separate before. So that’s fine. What about dr Allen? If you don’t mind just peeking at that? I just want to make sure that it’s real time.
Kyle Rice (05:08) Yeah. Dr Allen, was this… let’s see?
Janet Harris (05:14) So, oh… that was board certification for her. Yes. No need. Okay. Oh, wait a minute. Oh, that’s okay. I can look at it after no.
Kyle Rice (05:31) Worries. I’ll pull back up here. I got it open here. So, happy to take a look here if you need.
Janet Harris (05:36) Yeah, if you don’t mind if you just pull her up again, dr, Allen, dr. Ramush. I’m sorry?
Kyle Rice (05:43) Ramush.
Janet Harris (05:45) And that’s a woman by the way, gotcha.
Kyle Rice (05:50) It looks like we do have a certification in there, but this does not look like it has an expiration date for her new one. There’s.
Janet Harris (05:57) no expiration date for the internal board of medicine. I will delete the second or if you want to delete it while you’re there during.
Kyle Rice (06:04) This.
Janet Harris (06:04) Implementation phase. That is one that I missed. We’re removing those because that’s not a mandatory caqh field. Okay? And we duplicated it with, the two. So, all right.
Kyle Rice (06:18) So, remove the one with no certification number that expired September, correct? All?
Janet Harris (06:23) Right.
Kyle Rice (06:24) That is cleaned up and ready to go.
Janet Harris (06:26) Okay, perfect. Thank you. No problem. Awesome.
Kyle Rice (06:35) And then, Jen, our enrollment team just had a quick question in regards to Lindsay haberman, and Myla Chong’s enrollment closures that we have for you. We just need confirmation for Lindsay. If the, if you’d like us to partially close the line using the commercial and medicare lines of business or if or just how best to proceed there?
Janet Harris (07:00) When you say close, what do you mean?
Kyle Rice (07:03) They were going to partially complete the request using the commercial and medicare lines of business. I’m not super familiar with, the lobs there. And then for Myla Chong, the team is confirming the par status in this for her. So that should be closed out today. Let me get some additional information on Lindsay. And I can follow up with you on email next. I’m not totally familiar with what that is.
Janet Harris (07:30) Let me just give you a little bit of context. And this might be the question. Lindsay’s a per dam provider at south park eight. She’s that integrated specialist that’s located in the emergency rooms. We are not completing her medicaid until and we do the medicaid by the way. But we are not completing her medicaid until we get a claim because medicaid will make us re, enroll her every 30 days until she drops a claim. And so we’ve decided that and I don’t know if that will answer their question. Everything else medicaid or excuse me, medicare for her is complete. I believe her welcome letter. Is there. Yes, it is. And everything else was medallion owned. And so… I don’t think that they would, I don’t know if hopefully that’ll answer the question, the medicaid portion.
Kyle Rice (08:22) And I’m actually and I’m actually meeting with our enrollment team right after this. So, I think it’s a follow up there and then close the gap with that information. And then I can shoot you an email and we can go from there if that works for you, Janet.
Janet Harris (08:33) That’s fine. Okay. Perfect.
Kyle Rice (08:35) And then, so we should get mileage uncompleted today. And then I know we discussed Mary, one of the providers, Mary Dior yesterday, for her pay or not yesterday. But last week for her payer id, I just wanted to follow up, which enrollment our payer was that for? And what you’re having the issues adding the id or?
Janet Harris (08:54) That was med cost, but we fixed it during our meeting. Okay. We’re actually, it went through, it had a C in front of it which isn’t their normal practice, but it does happen and it wouldn’t allow me to add it, but it did allow you to add it. So that’s okay. Yeah, I.
Kyle Rice (09:08) Remember, we did the ad hoc there. I just wanted to flag that with our tech support team just to see if there’s any disassociated errors or anything going on with that. So I just want to get the, from additional information there. And then that was all the items.
Janet Harris (09:22) One second medcost may have a letter in front of their id. So if there’s a stop somewhere that doesn’t allow that because it has a letter, it worked fine during implementation. But as I was adding, it did not, it may be corrected because you were able to do that. You may have additional security. I’m not sure. Just a quick note on Myla Chung. Her open issue was the second location second.
Kyle Rice (09:47) Location ad, right? Okay. All right, perfect. Awesome. And then, what was top of mind for you? Besides, those agenda items for today? Janet? Anything new to add to the tracker or what can I help with for this morning?
Janet Harris (10:05) Platform updates? I know we got one, a message yesterday, Cheyenne. I don’t know if you had time to look at the emails, but did you get a notification from medallion that there’ll be some updates effective four nine?
Cheyanne Soltau (10:25) I didn’t get it directly to my email.
Kyle Rice (10:28) I.
Cheyanne Soltau (10:28) don’t know if it went. I didn’t see that it went to, I.
Janet Harris (10:32) Think the credentialing box. Yeah. Can we make sure one… of two things happen. Either Cheyenne sees or receives the same emails that I receive or if it’s easier to send them to the credentialing box, so that we do get them. I don’t… know if that’s going to mess something else up, but if we could do and.
Cheyanne Soltau (11:02) The updates, is it like platform updates or the weekly report? Because I did receive the weekly report, but I didn’t get any email regarding platform updates, yeah.
Janet Harris (11:14) There was an email that came out, I think yesterday.
Janet Harris (11:23) Give me one second. I’m just trying to pull it up to make sure that we… sorry, it came out. Nope, that’s not it.
Janet Harris (11:39) I’m gonna have to go.
Kyle Rice (11:40) Through.
Janet Harris (11:42) My email wait here we go. Nope, that’s not, it actually came out on Friday and it came from the help desk. I’m… gonna forward this to… Kyle and to you, Kyle and Cheyenne, Kyle. So, you know what I’m referring to? Okay? And Cheyenne added to that. I’m not gonna put anything. It’s it’s yeah.
Kyle Rice (12:17) That’s fine. I’ll take a look and get that close there. And.
Janet Harris (12:20) Can we talk about what the changes those are referring to? Yeah.
Kyle Rice (12:25) Which, which update did you guys receive? Was it the flag flagging missing, medicare and medicaid ids or hang on that just came through here. Let me take a look that I.
Janet Harris (12:36) definitely didn’t get. No.
Cheyanne Soltau (12:38) It’s analytics experience.
Kyle Rice (12:47) Yes. So, I actually got that update a little bit late myself. I know the analytics tab. So if we go to overview and then account and then usage… they’re just refreshing, the analytics screen on there to get a little bit clearer view. So this should show you guys active consumption details, any upcoming consumption on here. It’ll give you guys a kind of clear depiction of what products, where you kind of stand with current consumption against products for caqh payer enrollments and then licensing as well. And then I believe that the update was in regard to the consumption refresh consume services by week here in the active term consumption details.
Janet Harris (13:37) What does that mean?
Kyle Rice (13:39) So that I believe they just refreshed the look here. Let me double check reverse. Let me double check. Yeah.
Cheyanne Soltau (13:46) It seems like that email is saying that they, it’s.
Kyle Rice (13:49) yeah, it looks like it’s coming. Yeah, it looks like it’s coming down on April ninth.
Kyle Rice (13:53) You guys are gonna receive an update on there. It’s gonna show, the median turnaround time, date, turnaround by status and it’s gonna show the turnaround time by request by month and that should be rolling out on the ninth. I haven’t received any updated information on that, but I can check in with the team to see if we can provide you guys with any updates there. And I can send that forward for you as well and just make a quick note for myself. Yeah, I.
Janet Harris (14:17) haven’t really paid attention too much to that report because most of those things we have not started yet, totally… understand that.
Kyle Rice (14:26) Yeah, I get you get some updated information there, but that should be rolling out, on the ninth.
Kyle Rice (14:37) Awesome. What else is top of mind for this morning? Can?
Janet Harris (14:40) We review the task list though. I know items, I know sleep medicine that is a hot topic that we really need to add that specialty prior to rolling out the demo. One of our sleep medicine doctors is on our clinical governing board. So we want to make sure that he has a positive experience.
Kyle Rice (15:04) Yes, I did get an update on that. Our product team confirmed they would not be able to add that since it’s a sub specialty. I’m pushing back on that. I’m pushing back on that a little bit right now to see if we can get that added, Janet, but I don’t have any updates as of yet. So I’ll keep you guys in the loop there. And then the only other items I had, can.
Janet Harris (15:24) you leave that in progress? Because that hasn’t been resolved. Yeah.
Kyle Rice (15:31) And then we have the mileage on Lindsay haberman lines which we just talked about. I have, the demo with, the email updates in progress aiming for completion tomorrow. And then I’m going to pivot over to, the new hire demo for the mandatory fields and completion. I just wanted to prioritize that provider experience for that. And then the API key is on hold. And then I have the team looking into Elizabeth gray, her caqh attestation as well. So I should be able to provide you some additional information there as the team works through that. Anything else that we’re missing on here, Janet, or need to update our ad as part of, our tracker. I.
Janet Harris (16:13) Just want to say the sleep medicine although that might be a subcategory with their taxonomy. That is their primary specialty with our group. So if they’re not able to add that, can that not be a mandatory field because it’s showing deficiency on our sleep medicine providers. Yeah, let me check on that, Janet. Okay. I’m… just briefly looking through that. Is there a way that we can see this without added permissions?
Kyle Rice (16:45) Yeah, I can share this over with you right now.
Kyle Rice (16:53) And then you guys should have editing powers on here as well and visibility, I won’t.
Janet Harris (16:59) I know that was something that you guys wanted to keep just so that I could, yeah, this one’s.
Kyle Rice (17:06) fine. If you want to add anything ahead of the call or anything like that, this one is more for our internal operations. So I’m happy to give you guys permissions there. But this should be, you guys should be receiving the permissions now, so you can have visibility and any edits needed. So if you want to add anything before a call on here, just let me know because I usually update this. Excuse me bi weekly. So if there’s anything on here, I’ll try to monitor it continuously to make sure there’s for any additions or any updates.
Janet Harris (17:35) Okay. Adam ligler?
Kyle Rice (17:38) Yes… he’s still in process with that. I just bumped our engineering team on that. They said the investigation is still in process. So I have not received an update as of yet.
Cheyanne Soltau (17:54) Okay. Liar demo. And then.
Kyle Rice (17:58) The only other thing I’m going to add on here is just Cheyenne’s training for this afternoon, which I know we have scheduled at 12 PM this afternoon.
Cheyanne Soltau (18:09) Yes. And just confirmation of that board certification reminders if the providers are getting those reminders as well?
Kyle Rice (18:20) Yes, yes, I have that on, my to do list here and I’ll add that into the tracker as well.
Cheyanne Soltau (18:24) Okay. Thank you.
Kyle Rice (18:28) Completion date of today.
Kyle Rice (19:02) I’m just transcribing some of my notes on here for this morning here just to make sure we’re tracking. All right. So I got the confirmed renewal reminders, the board certification reports, the analytics update, and sleep medicine, anything else we need to add on here? Janet or Shane, one?
Janet Harris (19:21) Thing I would like to, for us to get into a little bit more depth is the new hire demo, hopefully, when the demo is approved, we’ll be able to move forward with the new hire. Not so much the demo but a, when that exchange will happen from medallion to, from Tryon to medallion. Yeah, it sounds like what’ll happen and please confirm is we’ll still go through our onboarding process up front up through and including certificate of insurance. Yes. Once we add that to the platform as well as simply getting the caqh login, we don’t have to complete caqh login. If you can confirm that or excuse me, their profile that you guys are going to do that. And if I’m wrong, please let me know so that we know how to sure that stuff’s done before we try to pass that over. And there was one more question I had in regards to that. Give me one second to.
Cheyanne Soltau (20:38) Yeah, no problem.
Kyle Rice (20:51) I.
Janet Harris (20:51) lost my question there quickly… but that’s okay. I’m quite sure it’ll come up next week when we talk about it, I’ll just jot it down and remember because we want to be able to move forward with our new hires as soon as we get the green light so that you guys can start picking up that portion. Do you?
Kyle Rice (21:17) Guys have any new hires in the pipeline right now? Or do you guys typically, just for my knowledge, do you guys typically hire like a certain number of primary care providers per quarter? Or is it typically an ongoing initiative we?
Janet Harris (21:33) Get them on a regular basis and we’ve been working them there’s nobody on hold. But if you can define the timeline from when you get the… provider. So, when medallion takes over the timeline that it goes through intake… before it gets to enrollment, That was the question. I, it came and lost it. So, yeah.
Kyle Rice (22:04) No worries. I can definitely break that down for you guys and for you here. We’ll confirm the required fields, what we need to pick it up, the caqh, the Coi, and then I can also confirm, the timeline, and then we’ll take over from the time it’s requested through intake to the enrollment process.
Janet Harris (22:22) And Kyle, if there is, and I don’t know if this is something you already have some barriers of for intake of things that generally will stop the process if you could share those with us so that we can try to avoid anything that’s going to delay the process. They may have a checklist of, we will need before we will, you know, just to minimize the email emails going back and forth or we can make sure that stuff is done before we hand it over. So.
Kyle Rice (22:56) Yeah, absolutely. I am. I’m meeting with Lee this afternoon just so I can def, I know she definitely has a checklist for you. So I, that’s something I should be able to provide relatively quickly for any barriers. I know just like off the top of nine, it’s like a copy which we should have most of this for you already uploaded. I believe it’s the W9, the bank letter. I believe it’s an irs form a voided check, but we should have the majority of those items uploaded for you, but I’ll confirm that and provide a checklist as well.
Janet Harris (23:25) I believe you have all of that, but yeah, let me know. It is. I believe we uploaded that very early on but by all means let me know. Yes, perfect. And Kyle for expirables with the group. So say our general liability is expiring in, I believe it expires in August. Do we get a notification expiring in? Do we get the same type of notification or similar that you would the physicians for expirables. How does that work?
Kyle Rice (24:00) Yes. So, for the Coi, our intake team should be tasking out for that. I know sometimes these malpractice like brokers and carriers will like bring it down to the wire like July if it’s expiring August first. So if you have not.
Janet Harris (24:14) The Coi, our general liability.
Kyle Rice (24:18) General liability. Yeah. You guys should be getting a notification of that. And then we can update the liability. If you guys have like a group like… the liability documents with like either the group name or the face sheet with provider’s name. What we can do, Janet is a bulk upload in our backend software that will take care of the policy update for all providers.
Janet Harris (24:42) Okay. The general liability is for the group and generally for location, we do have certificate of insurance that will be coming again in July. I know that medallion had a request of what that looks like to make it easier for you. Can you just verify with Leah? That was one of the things I was looking to go back to the videos to see exactly what it was that you needed. I’m hoping that we’ll get the up and running by then, but my understanding is if we don’t have signed agreements, you’re not going to bulk upload those. Is that correct?
Kyle Rice (25:25) We should still bulk upload those. We can bulk upload those for all clinicians regardless if they’ve signed agreements.
Janet Harris (25:35) Can you just confirm that? Because that didn’t we weren’t able to do that last year.
Kyle Rice (25:41) Yeah, yeah. I’ll verify that with Leah this afternoon. Okay.
Janet Harris (25:48) And that just gives us an opportunity to be prepared to update their information, update their caqh. I am trying to, we’ve tagged your, the people that have signed agreements with you. So I’m trying to let my ocd stop and give you guys the opportunity to do those updates. So we will try our best to refrain from updating those until the very last minute. We’ll have to review it just to make sure that it’s complete.
Kyle Rice (26:24) Perfect. Sounds like a plan. I will double verify that this afternoon with Leah and then close the gap there and update the tracker. So you guys should have some visibility there. Anything anything else that we want to add? Or any questions or updates we would add to the tracker at all?
Janet Harris (26:40) That would be the Coi name, and whether or not you guys will are able to do the upload regardless if the agreements are signed or if that’s something we will own until the agreements have been signed?
Kyle Rice (26:58) Goodness, I cannot type this morning.
Janet Harris (27:01) I get it. Coffee doesn’t kick in until noon.
Kyle Rice (27:05) I know that’s right? Awesome. I will confirm that for you there, Janet. Okay?
Janet Harris (27:10) Cheyenne, do you have anything to add? I don’t have anything to add. Okay, thank you. Perfect.
Kyle Rice (27:17) Well, Cheyenne, I know we are planning on connecting in just about an hour or so or, yeah, just about an hour.
Janet Harris (27:25) Ah, yeah. So.
Kyle Rice (27:26) Planning to just go through the platform in entirety with you, show you any features. If there’s anything specific you want to cover on there, just let me know. It’s going to be super informal. So if you have any questions, we can kind of go through those live and then just let me know if there’s anything additional we would like to cover as part of that training.
Janet Harris (27:44) Okay. Sounds good. Thank you.
Kyle Rice (27:47) Awesome. Cheyenne. Anything else top of mind for you this morning?
Janet Harris (27:51) I think we covered it all.
Kyle Rice (27:53) Awesome. And then I’m confirming our call for next week, same time, same place yep?
Janet Harris (28:03) Okay, perfect.
Kyle Rice (28:03) Awesome. Well, I will get this going. So we’ve got Cheyenne’s platform training. I will confirm the platform reminders for you. We’re closing out mileage on Lindsey haberman, I’ll get the additional clarification on Lindsey haberman, for you guys, as well as confirm the expirables tracking reminder, and then the Coi name and update there regardless if the agreements are signed or not. So that sounds like we have quite a bit in process. And then I’m finalizing the provider’s experience video that should be ready tomorrow. And then if there’s anything additional I can help you guys out with in the meantime, just feel free to shoot me an email and I will get you all taken care of for today.
Janet Harris (28:39) Okay. Sounds good. Thank you. Yeah.
Kyle Rice (28:43) In the meantime, hope you guys stay warm for a couple days down there, and as we get through this nice spring weather and then we will plan to connect same time, same place next week.
Janet Harris (28:52) All right. Sounds good. Thank you.
Kyle Rice (28:54) Thanks, team. Have a great day.
Janet Harris (28:56) You too. Bye, bye bye.
