And then profile zero to 84 percent. We have none there. So they’re looking good, providers not signed into medallion. We have ferlene, Carter, Laura Ennis and Ken lamb, and then just a reminder for any applications that you’ve sent off to the payer for medicaid or if you’ve sent any in the future, then just make sure that you’re adding that tracking number and completing the task that’ll fall back into our bucket for us to do follow up there. So it looks like the team has received some but they’re still pending on others. And then really that’s all that I have to go over. Niccole Russell (05:37) So that was the prior workflow. As of now, they have set it up on the back end for it to route to them for follow up. So they should be receiving that as soon as you make a comment.

Niccole Russell (05:53) You don’t have to close it anymore. No only close it when you’ve actually completed. So if you add a tracking number for an application that you’ve sent, that will need to be closed so the team can follow up on that because.

So then I have to send an email to the provider and say, did you take care of this? Oh, yes, I did, then I have to go back into mdstaff under, the administrative task and then close it. So, are they going to send, if it’s a provider that needs signature, just send it to the provider. If it’s for medicaid. Okay? Or if they, you require let’s say they’re looking for an updated registration, a Dea board, you send it to us, you do an administrative. So I want to make sure we’re clear on that.
Niccole Russell (07:56) Yeah, you should be receiving all tasks except for a signature request outside of medicaid that’s what I’m.
Nancy Rodriguez (08:03) saying, I don’t want to receive all tasks because we have access to the portal and we can see that the provider is missing, let’s say the medicare signature. So I’m following up with a provider. So I don’t need another reminder, okay? Because I’m already getting all the tasks but I don’t need an additional task under administrators, see what I’m saying?
Niccole Russell (08:27) Or you should not be getting an additional one. The only additional one you would get was for medicare because it requires an ao signature and, yeah.
Nancy Rodriguez (08:36) But actually getting it when even if they just need to give access to medicare, so that’s why I’m following up. If you can take a look and see they will.

So we are not at that point yet because no one is enrolled in medicaid yet, but I want to make sure that it’s in medallion’s radar that, that’s what they need to follow. And they also need to, they need to create two item forms the zero is in and 521. So I just want to make sure is, you know, you’re aware of the workflow because you do work with other New Year’s Day facilities, correct?
Niccole Russell (10:15) I mean, I would imagine we do not for my particular clients but yes, I would imagine so.

Niccole Russell (10:27) Process. So you would create a demographic update and add those locations in there once the provider is participating. So it’s not something we just automatically. Do you have to request that?

Niccole Russell (10:46) Yeah. So you have a request for the new enrollment, and then once now, if it’s if the group is enrolled, they will automatically link those as they’re doing the enrollment. But if it’s not, then you would have to do a demographic update.
Nancy Rodriguez (11:02) Okay. But it’s not for medicaid. It actually is for emed New York. It’s for the Eaton’s it’s not a medicaid application. Okay? Let me give you an example. We have dr. T, I call him dr. T, right? He’s already participating with medicaid, right? Medimillion created the group affiliation form, right? So I send it to the provider. The provider signed it. Now today, we’re going to send it to medicaid directly. I’m going to send a tracking number to medimillion, so they can keep track, right? So once the person let’s say because it could take up to three weeks or we’re sending a federal express. So hopefully it will take, it, will hopefully, it will be sooner, right? Once that provider is enrolled is linked to the open door. I want to make sure that medallion links that mpi to all facilities. And if you need instructions on how to do it since you don’t know if you have New Year’s Day, I can forward it to you so you can work with your team. But this is crucial and Maria is always looking for this. And we mentioned this from the beginning. So would you like me to send you those instructions? You can.

So, what needs to happen is you need to enter into the system where they… are approved, and then a demographic update for them to be linked. Okay?
Nancy Rodriguez (14:30) You’re talking about two different things and I’m glad you brought it up. Yes, we have Alicia the MP that she started her application back in December and we are monitoring that. But the one that I’m talking to you about, we already did the demographic and everything that you requested us to do. So.

Nancy Rodriguez (14:55) thing, it has been almost 30 days and I haven’t seen it’s just for them to complete one specific form and send it to us and we make sure we send it to the provider. I want to know what is the timeline for completion of the affiliation form for the others?
Niccole Russell (15:16) I will check on the timeline. I believe they are to submit. If there is nothing pending meaning task, everything’s complete. I believe they do that within five to seven business days. I’ll have to confirm that.

So the question we had, of course, we were looking at, I believe last week and it looked like only white plains was set… up for the facility side. But as I’m going through now, like under payers are… is there supposed to, is the information supposed to be here for like the payers that the… sites have been loaded up for these facilities are loaded for? Well?
Niccole Russell (17:48) I do know it’s under payers, but as of now, you don’t have any requests in there. I’m not sure on the payer names. You’re actually the only client that has facilities that I have that has facilities. Okay. So I will check on that for you to see if there’s supposed to be a payer list there as well?
Chendel Hooks (18:07) Okay. Because I see it here for, white plains, we have it and I show it under the payer list, and I think, the issue we’re kind of running into here and it looks like it was set up for medicaid and medicare, but.

So it’s showing the payer names here, see how both are processing. So if you submitted another one, say for blue cross blue shield, then that should populate the payer name too.
Chendel Hooks (18:46) So, I think the issue we’re running into, is that when I was talking with Nancy about it and she remembered that when we were initially doing this, I think we were only told that we needed to submit one and I guess the rest were all were going to automatically be done… because here, none of the other ones have any payer information. So, I guess I wasn’t sure exactly like, you know, did we have to now, did we have to manually put all the requests in for each site for medicaid and medicare?
Niccole Russell (19:23) So, for each site, each… facility, yes, that would be a different request.
Chendel Hooks (19:31) So, so, all right. So each, for each one of our facilities outside of white plains, we have to put in, we have to go in and put in new payer. Is it a payer enrollment request it?
Niccole Russell (19:45) Would be payer enrollment now to that first one that you submitted. You only did the one location, right? On your request. So if you go to, yeah, just click on one of those medicaid or medicare… and then scroll over. You should see there’s six practice locations there. So hover over that.
Nancy Rodriguez (20:11) Okay. So.
Niccole Russell (20:12) They’re added in here. I’m not showing. I’m not sure why they’re not showing under the others other than the fact maybe this was the primary one you requested it under. Does that make sense?

Niccole Russell (21:56) The task is right there that’s what it’s showing facility medicaid enrollment. And then it’s showing our agent saying they’re waiting on hospital admitting arrangements. And no comments have been made under this since. So now, it looks like shendell is making a comment.

Well, can the approvals or can you know, each one be broken out to the other facilities? So that, you know, it’s easily shown that, you know, each one is now set up. I know everything is linked under here, but it’s not under all the other sites, all the other facilities. So just that way when we go in, it’ll properly show, you know, each facility has been approved. So each facility has the exact same screen here. Can that happen once the approval’s done? It?

Jasmine Feliz (29:36) Right. They’re not using a new form when they have a new applicant. So they’re trying to type over the information that was already existing and double check marks some, I had a, one of the emed forms with Dea dates at the bottom. That again was not our applicant. Oh, it didn’t have, it had only expiration and effective dates. It didn’t thankfully, it didn’t have a Dea number, but it did have dates.
Chendel Hooks (30:16) And, and those you sent back to them to correct? I.
Jasmine Feliz (30:21) Sent back to them to correct. I snipped the arrows specifically showing them that the headers were removed on the application, double check marks on the place of service, not indicating areas of signature… again, reminding them not to send it to the provider. Please send back to admin task. It hasn’t occurred, but another seven applications… were reviewed yesterday, six or seven. I’m sorry, I can’t remember specifically, but all were marked with errors.

So you would insert that information under the provider.

Niccole Russell (33:29) And not linked to the group. Okay? So then you would have to enter a demographic update asking for it to be linked to the group. I.

If you scroll over just a little bit, it looks like they’re linking that provider to all seven of your practices and then click on the notes there.
Niccole Russell (34:47) Ready for medallion provider. Now, we can submit the application and group linkage request. Next step is to submit. Okay. Yep. So you’re good on that one. So I would say the remainder of the providers, you would have to go through and look to see if you submitted a demographic or if you did a new enrollment request?

He did sign it. We’re sending it over. So I’m looking at two different instructions. So I just want to make sure which instruction is correct and which instructions is medallion following?
Niccole Russell (35:58) As of recently, a few weeks ago, they should be doing it online.

So, I mean, I’m a little bit worried because if they’re going through the QC process and Jasmine is still seeing these errors, I’m a little bit worried, you know, that it’s going through quality control, but we’re still getting errors, you know? Yeah. So I mean, I appreciate, you know, I know you said you’ll follow up with the audit manager. I guess that’s who oversees QC. Yeah, they could just really take a look at the notes that Jasmine was sending back in those cases and really, you know, say, hey, you know, what’s really going on here? Yeah. So that we can, you know, we can reduce the amount of rework we have going on because it’s you know, obviously, it’s still, you know, it’s still an issue, very.
Niccole Russell (38:54) Time consuming. I get it. Yeah, I will let her know. I do have an open ticket in. So I’ll just respond back to that ticket and let her know that we’re still seeing lots of errors and these are on provider applications, correct? Yes. Okay. I did see notes on a facility one. So I had added those corrections, okay? To your project plan just so they can see what the issue’s been to help reroute… that where it’s not an issue. So I will let them know that we’re still seeing issues.
Jasmine Feliz (39:27) On the provider applications, Niccole, I was very specific when they were first reviewed and then they come back and I heard you, I mentioned it earlier that they’re trying their best instead of re, completing a new application entirely trying to overtype for the information that was already existing in doing that. They’re removing the headings from the application.
Nancy Rodriguez (39:54) Okay.
Jasmine Feliz (39:57) I can, taking the shortcuts creates more work. Again, it’s helpful. Yeah.
Niccole Russell (40:05) And I did have in here that they are trying to override what’s already written there. And, you… know, I did see some of the things you had sent back as far as they used whiteout which I know it wasn’t whiteout but it made it look like it, they’re overriding… their pre populated app into where you can still see it. But, yeah.
Jasmine Feliz (40:31) But those are these things that through our experiences that medicaid will reject it.
Niccole Russell (40:40) Yes, I know medicaid New York is very strict.
Jasmine Feliz (40:44) It appears to be that way. Okay? If it appears to medicaid that way, it’s coming right back, right? And then we’re doing it again. Yeah.
Niccole Russell (40:54) I know they’re very strict, so I will get with the audit manager again and let her know that there are still several that are coming… back needing corrections.
Nancy Rodriguez (41:05) One more thing Niccole for the medicare facilities. Can you also check to see if they were approved? Because I don’t remember receiving a letter. Usually, medicare was sent a letter saying, you know, all the facilities has been approved. I know they did something. I know medallion did something, but after that, I never heard anything back.
Niccole Russell (41:35) Yeah. So, it’s still processing with medallion. We haven’t sent it to the payer yet. Looks like we just got surrogacy approved.
